Creating and Applying Account Credits in Limo Anywhere
Account credits give your operation a flexible way to manage prepayments, overpayments, and customer balances at the account level. Whether you’re applying funds toward future reservations or tracking credits issued to a client, understanding how account credits function can help keep your billing process clean and consistent.
In this blog, we’ll walk through how to create account credits, request payment toward those credits, and apply them to reservations.
Creating Account Credits
To create account credits:
- Click “Accounts” in the navigation bar
- Search for and open the appropriate account
- Navigate to the “Financial Data” tab
- Click the “Available Account Credits” link on the right-hand side

From there:
- Select the appropriate payment method
- Enter the amount to be applied as a credit
- Click “Submit”

The available credit will now appear within the account and can be applied to future transactions.

NOTE: Account credits can also be created automatically when a reservation is settled with a negative balance due. In this case, the system will make the overpayment available as an account credit, which can then be applied to future reservations or invoices.
Requesting Payment for Account Credits
If you are using LA Pay, you can request payment directly toward account credits.
- Click “Accounts” in the navigation bar
- Search for and open the appropriate account
- Navigate to the “Financial Data” tab
- Click the “Available Account Credits” link
From there:
- Select a payment method mapped to the CCARD subtype
- Choose “Request a Payment” from the “Pay With” dropdown
- Enter the payer’s name and email address
- (Optional) Add any relevant payment notes
- Enter the payment amount
- Click “Send Payment Request”

Applying Account Credits to a Reservation
Once credits are available, they can be applied to a reservation at the time of payment.
- Open the reservation
- Click the Payment icon at the top of the screen
- Select “Credits” from the Payment Method dropdown
From there:
- Enter the amount to apply from “Available Account Credits”
- Click “Submit”
If a balance remains, you can process an additional payment using another payment method.

Use Cases for Account Credits
Account credits are typically used in situations where funds need to be held at the account level and applied at a later time. This allows you to manage balances without needing to track payments outside of the system.
Common examples include:
- Prepayments
Clients may choose to add funds to their account in advance, which can then be applied to future reservations or invoices. - Gift Cards or Loyalty Programs
Credits can be issued as part of a promotion, reward program, or gift card purchase. - Overpayments
If a client overpays on a reservation or invoice, the remaining balance can be retained as an account credit for future use. - Adjustments Instead of Refunds
In some cases, rather than issuing a refund, you may choose to leave the balance on the account to be applied toward a future trip.
